We’ve all heard about “document your process,” and it already feels like a buzzword in marketing. But has anyone told us how to do it?

It’s another episode of Dear Digital Marketing Newbie, and today, I’ll be spilling the tea on how I documented my work, my process, and how you can do the same.

That’s when it hit me; so much of my work and process during the early days weren’t documented. And trust me, that was a huge miss!
Why Documenting Your Process Matters
Clarity & Reflection – Writing things down helps you analyze what worked, what didn’t, and what to improve.
Portfolio & Proof of Work – Your future clients or employers need proof that you know your stuff.
Efficiency & Growth – It makes onboarding new team members, explaining strategies, and scaling your work easier.
Problem-Solving – Reviewing past documentation helps you troubleshoot similar issues in the future.
Knowledge Sharing – It allows you to teach and mentor others with structured insights.
How To Document Your Process (Step-by-Step)
1. Choose Your Documentation Tool
You don’t need fancy tools—start with what works for you. Here are some great options:
Notion: Best for organizing thoughts, tracking projects, and creating a knowledge hub.
Google Docs/Sheets: Simple but effective for logging campaigns, strategies, and outcomes.
Trello or Asana: Useful for workflow documentation and team collaboration.
A Private Blog or Journal: A personal space to record insights and reflections.
2. Create a Marketing Workflow Template
Having a structured template makes documenting easier.
Here’s an example:
Title: [Project or Task Name]
Date: [Start and Completion Date]
Objective: [What are you trying to achieve?]
Tools Used: [Google Ads, Canva, Meta Business Suite, etc.]
Process: Step-by-step breakdown of your actions
Challenges & Solutions: Issues encountered and how you solved them
Results & Key Takeaways: Metrics, insights, and learning points

3. Capture Your Work in Real-Time
Take screenshots of campaigns, designs, and reports.
Use Google Analytics, HubSpot, or social media insights to track data.
Record a quick Loom video explaining your thought process on major projects.
Save before-and-after versions of work (e.g., ad copy revisions, content edits even before and after of your work).
4. Build a Case Study Library
Every major project should have a case study. This not only serves as a reference but also boosts your credibility. Follow this simple case study format:
The Problem: What challenge were you solving?
The Strategy: What approach did you take?
The Execution: Steps you followed, tools used, and why.
The Results: Key metrics, success stories, and what worked best.
Lessons Learned: Things you’d do differently next time.
5. Weekly Reflection & Improvement
Make it a habit to reflect on your work at the end of each week:
What worked well?
What could have been improved?
What insights can you apply to future projects?
Any unexpected learnings?
You can use a simple table in Notion or Google Docs for this weekly review.
6. Convert Your Documentation into Shareable Content
Your documentation isn’t just for you - it’s valuable content! Use it to:
Write LinkedIn posts summarizing lessons from projects.
Create Twitter threads breaking down strategies.
Record short videos explaining your thought process.
Build a personal blog or newsletter showcasing your work and insights.

Starting this week, commit to documenting at least one marketing process. It could be a campaign you’re working on, a content calendar, or even your thought process behind a strategy.
